This Process Guidance is designed to provide resources you need to consult if you are creating swag items with ASU/Barrett information, photographing events for use in posting or publication, recording guest speakers or events, posting on behalf of Barrett/ASU on social media, and everything related to Brand Standard and ASU’s presentation both within and outside of the ASU community.

Enterprise Brand and Marketing Guide
Whether you purchase apparel or merchandise with ASU/Barrett logos, post photos on social media or use them in advertising, or any other activity involving ASU branding or photos/recordings of ASU/Barrett events, you must consult the Enterprise Brand and Marketing Guide before you get started.
The Guide has sections that cover:
- use of logos
- use of the color palette beyond maroon and gold
- a writing guide that includes how to create your email signature
- social media policies and guidelines
- photography/recording policies and guidelines.
Each section outlines policies, and provides guidance and tips for getting the best results.
For the purpose of this manual, we are focusing on two of the most used processes:
Apparel and merchandise
Before you place that order for t-shirts with a really cool design your student employee created, you will want to:
- Read the section of the Enterprise Brand and Marketing Guide called Executing the brand. This section provides information on how to execute the brand for Apparel and Merchandise and a host of other ways you may need in your future.
- Contact Tiffany Woodruff-Mayer and his team in the Barrett Marketing Department to ensure that your design meets all of the standards set forth for the use of Barrett/ASU logos and references. Better yet, start with this talented team to help create your design.
- Once you have an approved design, you will need to work with an ASU contracted vendor for purchase of goods. Only certain vendors have been approved to print/create items containing ASU branding. The list can change, so don’t rely on ‘the vendor we used last time’. Consult the Approved Vendor List to ensure you select one who is still approved to create your items.
- Once you have your quote, refer to the Barrett Processes: Purchases and Reimbursements, to begin the process of placing your order as required by ASU Procurement Policy.
Photo/recording release
The most common use of this will be for photos at events or ceremonies, and unpaid guests who are speaking and you would like to photograph and/or record the session.
- For events where photographs will be taken, you must ensure the appropriate Photo Release forms are in place. Refer to the Photography section of the Enterprise Brand and Marketing Guide for more information.
- Be sure to have multiple blank copies of the Photo/Recording Release Form so they can be completed as needed.
- To record a guest speaker, please use the following as your guide: You do need a signed Photo/Recording Release Form when:
- The speaker is an unpaid guest or only being reimbursed for miscellaneous expenses.
- Exceptions to policy and only used in extenuating circumstances:
- The speaker did not sign the Speaker/Artist/Performer Agreement prior to the event, as required.
- The speaker is being paid via an invoice after the fact due to processes not being followed.
- The PowerForm can be included in communication with the guest to ensure it is signed prior to the event.
You do not need a signed Photo/Recording Release Form when:
- The speaker is being paid an Honorarium – these issues are covered in ASU’s Speaker/Artist/Performer Standard Terms & Conditions which is referenced in the Speaker/Artist/Performer Agreement that must be signed and in place prior to the event.
