Leave Process

Purpose
The ASU Leave Process provides guidelines and information regarding leaves of absence for ASU employees. The process ensures that employees understand their rights and responsibilities when it comes to taking time off from work for various reasons. The leave of absence options include:
- Sick Leave: Employees can utilize sick leave for personal illness, medical appointments, or to care for an ill family member.
- Family and Medical Leave Act (FMLA): This federal law provides eligible employees with up to 12 weeks of unpaid leave for certain medical and family reasons, including the birth or adoption of a child, caring for a seriously ill family member, or the employee's own serious health condition.
- Parental Leave: ASU offers paid parental leave to eligible employees following the birth or adoption of a child.
- Military Leave: Employees who are members of the military or who have family members in the military may be entitled to leave for military-related duties or events.
- Personal Leave: ASU provides the option for employees to take unpaid personal leave for personal reasons not covered by other leave categories.

Process Expectations
The leave process at Barrett Honors College follows a collaborative approach involving employees, supervisors, Barrett Business Operations, and HR Benefits. Each group has specific expectations and responsibilities to ensure a smooth and efficient leave management process. Here are the expectations for each group:
Employee
- Initiate the Leave: The employee is responsible for initiating the leave request and providing all the necessary supporting documentation, such as medical certificates or other relevant documents, depending on the type of leave.
- Communicate with Supervisor: The employee should maintain open communication with their supervisor throughout the leave process, keeping them informed about the leave duration, expected return date, and any updates or changes. Employees do not share medical information with supervisors.
- Follow Leave Policies: The employee should adhere to the established leave policies and procedures of Barrett Honors College and ASU, including any notification requirements and documentation submission deadlines.
- Faculty Leaves: For faculty members requesting a leave there is an additional requirement to file paperwork with the Provost Office. This additional form is specific to faculty leaves and may contain information or documentation that is relevant to the Provost's Office. Contact Barrett Business Operations to obtain the specific form required for faculty leaves and to ensure compliance with the additional paperwork. They will be able to provide you with the necessary form and guide you through the process of filing it with the Provost’s Office.
Supervisor
- Collaborate with the Employee: The supervisor works closely with the employee to understand the reason for the leave, review the leave request form, and ensure compliance with leave policies.
- Coordinate with Business Operations: The supervisor collaborates with Barrett Business Operations to facilitate the leave process, providing necessary information and supporting documentation as required.
- Support Employee's Return: Upon the employee's return from leave, the supervisor plays a crucial role in assisting with their reintegration into the workplace and addressing any work-related concerns or adjustments that may be needed.
Barrett Business Operations
- Track Leave Time: Barrett Business Operations is responsible for tracking and recording the leave time used by employees in TAS (Time & Attendance System) or PeopleSoft, ensuring accurate documentation of leave hours.
- Liaison with HR Benefits: Business Operations serves as a liaison between the employee/supervisor and HR Benefits, facilitating communication and providing necessary information or documentation related to the leave.
HR Benefits
- Manage Leave Paperwork: HR Benefits is responsible for managing the administrative aspects of the leave process, including reviewing and processing the leave paperwork submitted by the employee.
- Work Directly with Employee: HR Benefits engages directly with the employee to provide guidance, answer questions, and ensure compliance with applicable leave policies and regulations.
